How to Obtain Access for Advisers

To maintain security and confidentiality of student records, access to eLion's Advisers applications is restricted to those Penn State faculty and staff who have been designated by their administrative units as academic advisers. There are two steps that you must complete before you can access eLion:

  1. You must first have a Penn State Access Account (user ID and password).
  2. You must be listed as an adviser on ISIS, the University's student records database. If you are not, contact the main support staff member in your administrative unit and request that you be added. Refer the staff member to the "Instructions for using ISIS screen ARUSAB to add an adviser record" below if he or she has any questions about processing the request.
After both steps have been completed, you should be able to access Advisers applications by logging in using your Access Account user ID and password. If you are not able to log in at that point, please contact the AIS Support Center.

Note that for a few applications, you will also need a SecurID Token.


Instructions for using ISIS screen ARUSAB to add an adviser record*

  1. Fastpath to ISIS screen ARUSAB.
  2. Key an S in the ACTN field, then the campus (CAMP) code and department (DEPT) code.
  3. Press the enter key. (If the names of any advisers were entered previously on this screen, they will now be displayed in alphabetical order.)
  4. Key a C in the ACTN field.
  5. Scroll (PF8) and/or tab to the first blank line on the screen.
  6. Key in the person's last name, first name, and middle initial under the appropriate column headings.
  7. Create an adviser code and key it under the ADVR CODE column heading. The adviser code can be any character code made up of three letters followed by one or two numbers (e.g., ABC1, JKL09, XYZ48). The adviser code does not have to be the same as the person's Access Account user ID or e-mail ID.
  8. Key in the adviser's Access Account user ID under the ADVR ACCESS-ID heading. It is critical that this ID be entered correctly. Do not assume that it is the same as the adviser code or the e-mail ID. If you do not know the person's Access Account user ID, check with that person to be sure, or look it up in the Penn State Directory (the person's Access Account user ID will be listed on the "Userid" line.).
  9. If the adviser is an honors adviser for students in the Schreyer Honors College, key in a Y under the HONORS ADVR heading. If you are not sure, leave it blank.
  10. Press the PF12 key.
If the adviser code that you created has already been assigned to another adviser, the message ADVR CODE IS ALREADY ON FILE will be displayed on the screen. It will then be necessary for you to create a different adviser code.

After the new adviser record has been entered successfully, the name and other identifying information will be added alphabetically to the department list of advisers on this screen. The adviser should now be able to access eLion's Advisers applications using the Access Account user ID, not the adviser code.


Instructions for using ISIS screen ARUSAB to update an existing adviser record*

  1. Fastpath to ISIS screen ARUSAB.
  2. Key an S in the ACTN field, then the campus (CAMP) code and department (DEPT) code.
  3. Press the enter key. (The names of advisers entered previously on this screen will be displayed in alphabetical order.)
  4. Key a C in the ACTN field.
  5. Scroll (PF8) and/or tab to the adviser's record that you want to update.
  6. Key in the adviser's Access Account user ID under the ADVR ACCESS-ID heading. It is critical that this ID be entered correctly. Do not assume that it is the same as the adviser code or the e-mail ID. If you do not know the person's Access Account user ID, check with that person to be sure, or look it up in the Penn State Directory (the person's Access Account user ID will be listed on the "Userid" line.).
  7. Press the PF12 key.
After the adviser's record has been updated, he/she should be able to access eLion's Advisers applications using the Access Account user ID, not the adviser code.

*These instructions assume that the user is already familiar with ISIS screens and has been given security clearance to update ISIS screen ARUSAB. Questions about screen ARUSAB should be directed to the Division of Undergraduate Studies.
